Conference and Banqueting at Eastpoint Centre

Thank you for choosing Eastpoint Centre in which to run your training course/event. You have chosen a specialist facility which does not take passing trade for training/event space. It is therefore difficult for us to re-sell our facilities at short notice. With this in mind it is necessary to have the following Terms and Conditions, which you are asked to read carefully before signing below and return in.

This agreement is between Eastpoint Centre and the Hirer

Interpretation: The following terms shall apply: EPC is Eastpoint Centre Ltd. The premises shall mean the building.

  1. Use of premises

    The Hirer and guests must only use the parts of the building that are specified in the hire agreement.

    • Hirers will ensure that they are conversant with the Centre Emergency Procedures and inform their delegates accordingly.
    • Hirers are to inform Eastpoint Centre of any delegates with a disability, or if any persons will be using wheelchairs.
  2. Charges

    The room hire and catering charges are set out in your booking confirmation letter or email, and forms part of these Conditions of Hire. Eastpoint will invoice all bookings unless payment is made prior to or on the date of the hire.

  3. Applications for Hire

    The Hirer must declare at the outset the purpose of the application for hire and the venue shall be used for that purpose only. EPC reserves the right to refuse any application.

  4. To Secure Your booking

    To confirm your reservation and to ensure that we have the correct information for your course/event, you are requested to return our booking form within 7 days as alternatively the space may be released.

  5. Delegate Numbers

    When confirming numbers on the booking form, please ensure that they are realistic in relation to your course/event. The delegate numbers signed for will be used as the basis for your final account and will be subject to our cancellation policy as detailed below. We do, however, understand that numbers can reduced and with this in mind we allow for a 10% variance in delegate numbers if notified to us in writing more than 7 days prior to the course/event.

  6. Cancellation or Amendments

    In the unfortunate event that you cancel or reduce your numbers, cancellation fees will be charged in accordance with this clause. We will endeavour to re-sell your space and, if successful, any payments received for such space sold will be taken into account, based on the applied percentage, when calculating your cancellation fee. All cancellations and amendments must be confirmed to us in writing and a cancellation number obtained from the Venue. On receipt of this confirmation the notice period becomes effective and excess space will be released for re-sale. Fees for cancellations/reductions in numbers are calculated as detailed below and are based on the total value of the confirmed booking.

  7. Training/Event Rooms and Facilities

    Delegate numbers will be taken into consideration when allocating your training/event room. We reserve the right to change allocated rooms and advertise facilities at our absolute discretion and to vary our brochure from time to time.   8. Breakages

    Hirers must immediately indemnify EPC for any loss, theft or damages, however caused, arising during or in respect of the period of hire. Any loss, theft, damages or breakages must be reported immediately.

  9. Indemnification

    The Hirer shall immediately indemnify EPC from and against;

    • All claims, demands, actions or proceedings and any loss, damage or injury which may be brought against or suffered by EPC, arising from or in consequence of the non-observance or non-performance of any of the conditions or any act, neglect, default or omission of the Hirer his/her agents or servants.
    • All claims, demands, actions or proceedings in respect of the death or injury howsoever and by whomsoever caused – by or to any persons which shall occur or arise from any accident or occurrence which shall happen while such person is on or upon any part of the premises during the period of time or in respect of any loss or damage suffered or sustained by any person in consequence of any such death or injury, unless such death, injury, loss or damage is caused by the negligence of EPC, it servants or agents or by any defect in the premises.

  10. Peforming Rights

    Hirers are responsible for any licence required for the uses of any copyright material.

  11. Electrical Equipment

    The Hirer shall ensure that any electrical appliances brought into the venue and used there, shall be safe and in good working order, and used in a safe manner compliant with Health & Safety Regulations.

  12. Cancellation of Bookings by EPC
    • EPC reserves the right to cancel any booking, vary the conditions or the hours of the booking. A minimum of 7 days notice will be given in the event of cancellation by EPC who shall not be liable to the Hirer for any resulting loss whatsoever.
    • In the event of the venue or part thereof being rendered unfit for the use for which it has been hired; EPC shall not be liable to the Hirer for any resulting loss or damage whatsoever. In such instances EPC will endeavour to find an alternative venue.
    • EPC reserves the right to cancel any booking in the event of the venue being required for use by the Local Authority in an Emergency. A full refund will be made, but EPC will not be liable to the Hirer for any resulting loss or damage whatsoever.
  13. Termination of Use

    On the day of the hire the Duty Manager reserves the absolute right to terminate the letting, if, in their opinion, the Hirer or guests are in breach of any Conditions of Hire. In the event that the hire is terminated under the provisions of this clause, EPC will not be responsible for any claims incurred by the Hirer in respect of the early termination of use nor will the hire charge be refunded.

  14. Use of Car Park

    Use of the Centre car park is at the owner's own risk.

  15. Invoicing the Payment

    Unless otherwise stated by us, the invoice will be raised on the date of the event and forwarded to the client for payment. EPC terms and are strictly 30 days.

    Working Days are Monday to Friday and exclude Saturday, Sunday and all Bank Holidays

    THE CONTENTS OF ANY BOOKING CONFIRMATION LETTER OR EMAIL YOU RECEIVE FROM EASTPOINT CENTRE FORMS PART OF THESE CONDITIONS OF HIRE.

    All bookings are subject to these Terms and Conditions which may not be varied without our written agreement. Please sign and return this page by the specified date.
